How to connect automations with Zoho CRM

Connect your Typeform automation with Zoho CRM to automatically create or update leads in Zoho CRM when someone submits a form or when a contact is created or updated in your Typeform account.

With Typeform's automations, you choose when data is sent to Zoho CRM. You can:

  • Only send data to Zoho CRM when a respondent or contact meets certain conditions
  • Trigger the automation from contact activity (like when a contact is created), not just form submissions
  • Combine Zoho CRM with other actions in the same automation, such as sending a Slack message

For example, you can create an automation that:

  1. Starts when a property is updated for a contact in your Warm leads list
  2. Sends the updated contact data to Zoho CRM Leads, so both stay in sync
  3. Waits 1 day, then sends a Slack message to remind your team to follow up

What you'll need:

Note!  If you’re on a Growth Custom or Enterprise plan with EU data hosting, you can only connect to a Zoho EU account. All other accounts connect to Zoho.com.

Looking to connect Typeform with Zoho CRM without automations? You can do so from the Connect panel. Learn how to send leads to Zoho CRM from a form.

Create contacts and map form responses to contact properties

To trigger the automation from contact activity or updates, you'll need to set up your contacts database with contact properties to store and organize information about your contacts in Typeform.

Then add contacts to your contacts database to create contact profiles. You can add contacts from form responses, import them from a CSV, or create them manually. If you're adding contacts from form responses, you'll need to map your form responses to your contact properties.

If you're triggering the automation from form submissions, you can skip this step.

Create an automation and connect to Zoho CRM

  1. From your workspace, click the Automations tab.

  1. Click + Create automation.

  1. Select what will trigger this automation:
  • Form submissions
  • Contact activity or updates
  • Scheduled

We'll select Contact activity or updates.

  1. Give your automation a name by clicking the default name in the top-left corner.

  1. Select what will trigger this automation from the dropdown list. We'll select Contact property is updated.

  1. Optionally, add a contact list and contact property filter if you only want this automation to run for a specific group of contacts. For example, select a list called Warm leads.

  1. Click the + icon in the middle to add an action, then select Send to integration.

  1. Click the Zoho CRM icon in the right-side menu.

  1. If you've already connected a Zoho CRM account to Typeform, select the account you want to use from the dropdown.

If you haven't connected a Zoho CRM account yet, click Add account and follow the prompts to log in to Zoho CRM.

  1. Map your Typeform data to Zoho CRM Leads fields. Select your Typeform data in the left dropdown, and the Zoho CRM field you want to send it to in the right dropdown. What you map depends on your trigger:
  • Form submissions: map your form questions.
  • Contact activity or updates, or Scheduled: map your contact properties.

You must map Email, Last name, and Company. If you're using form submissions as your trigger, make sure these questions are set to Required in your form.

You can then map any other fields you want to send, like phone number or LinkedIn URL.

Note!  Custom fields created in Zoho CRM aren't supported.

  1. Click Finish.

  1. Click Activate to turn the automation on.

Once activated, your automation will create or update leads in Zoho CRM every time the trigger and any conditions you’ve set are met.

Add a time delay or another action

To add a time delay, click the + button and select Time delay.

In the right-side menu, choose how long to wait before the automation continues: Minutes, Hours, or Days.

Then click the + button to choose the next action. You can send an email, send a text (SMS), send a webhook, or send to another integration.

Edit or delete the Zoho CRM action

To delete the action, click it, then click the 3 dots and select Delete action.
